Turn website visitors
into booked jobs.
HiveSuite forms have been rebuilt. Online booking slots, a lead inbox that tracks every enquiry to Won, and a clear view of which adverts actually bring you work.
A website enquiry is one of the cheapest leads a service business gets, and one of the easiest to lose. It lands in an inbox, waits for someone to copy it into a diary, and by the time anyone rings back the customer has booked someone else. The rebuilt HiveSuite forms close that gap: the enquiry becomes a customer, a draft quote or a booked time in HivePlanner the moment it's sent, and it sits in one inbox until you've won it or let it go.
Already using HiveSuite forms? Nothing breaks. Your form links and website code keep working, and existing forms keep their original look until you choose a new theme.
One form. No retyping.
Most enquiry forms stop at "you've got an email". A HiveSuite form keeps going, so the details a customer types are the details your team works from.
- Capture
- The customer fills in your form on your website, a link or a QR code. Photos of the job, a preferred date or a booked time come with it.
- Create
- HiveSuite adds or updates the customer, and can create a draft quote with the job details ready for you to price.
- Follow up
- The lead lands in your inbox as New. Give it to someone, call or email from it, and move it to Contacted.
- Book
- Approve a booking in HivePlanner and the job opens at the booked time, or press New job from the lead. Either way the lead is marked Won.
Build it once. See exactly what customers see.
Making and changing a form now happen in one builder with five tabs: Fields, Settings, Design, After submit and Share. The live preview uses the same code as the real form, so what you see is what your visitors get, on a wide screen or a phone.
Start from a ready-made Contact, Quote request, Call back or Booking enquiry form, or add fields yourself. Drag them into order, put two or three side by side, and mark the ones that are required. People see a clear message next to anything they've missed.
Ask exactly what you need
Alongside your customer, quote, custom and calculated fields, you can now add questions that don't need a custom field: short and long answers, email, phone, number, website, date, time, dropdowns, single and multiple choice. Add a consent tick box with a link to your privacy notice, file uploads for photos or documents up to 10 MB, headings, hidden values, and page breaks that turn a long form into simple steps.
Any question can show only when another answer matches, so "What make is the boiler?" only appears for people who said they have one.
Every save is kept. Press History to see the last 50 saves, who made them and when, and bring back an earlier version if a change didn't work out.
Let customers pick a time that suits you.
Add a booking slot to any form and visitors choose a date, then one of your free times. No back-and-forth to find a day that works.
You decide the days you take bookings, your first and last times, how long each booking lasts (15 minutes up to 8 hours), how many bookings you can take at the same time (handy if you run two vans), the notice you need and how far ahead people can book. Company closures from Time Off, such as a Christmas shutdown, are skipped automatically.
Approve
Job createdEach booking arrives in HivePlanner Requests, linked to the lead. Approve it and a job opens at the booked time, the lead is marked Won, and the customer is emailed.
Decline or move
Time freedDecline it and the time is freed on the form, with an email to the customer. Need a different time? Change the date or time from HivePlanner or from the lead.
A time disappears once its places are taken and is checked again when the form is sent, so it can't be double-booked. If someone takes a time first, the form simply shows the times still free.
Booking slots only know about bookings made on the form, not jobs already in HivePlanner, so treat each one as a request and check it against your diary when you approve it.
Every enquiry, tracked until it's won.
Submissions is now a proper lead inbox for every form. Mark each lead New, Contacted, Won or Lost, give it to someone on your team (they get an email and a notification), and add notes only your team can see. Form leads in the side menu shows how many new ones are waiting, so nothing sits unanswered.
Open a lead to see every answer with its question, any photos or documents they sent, and where they came from. From there, email or call them, open their customer record or draft quote, start a new quote, or book a job in HivePlanner.
Find and export
Filter by status, form, who it's given to, source or date, and search names, emails, phone numbers and answers. Export what you're looking at to a spreadsheet.
The right people, the right alerts
New-lead alerts go to Administrators and to Staff who can see customers. Crew aren't notified and can't open Forms or Submissions.
Privacy requests
Delete a submission for good when someone asks you to erase their data, including any files they sent.
Find out which adverts actually bring you work.
Spending on Google or Facebook ads but not sure what you're getting back? Each lead now records where the visitor came from: the utm_ tags on the link, a Google Ads or Facebook and Instagram ad click, or the website that sent them. It shows on the lead, in the team email and on the customer's page as the source of their first enquiry.
Where leads came from in Submissions puts it side by side: how many leads each source brought in the last 90 days, and how many of them you won. That's the number that tells you where to spend next month.
Count enquiries as conversions
Send people to a thank-you page on your own website after they submit, then count visits to it as a lead in Google Ads, Analytics or Meta. For website developers, the form also fires an event on your page when it's sent, without including anything the visitor typed.
Looks like your business. Works on any website.
Choose a theme on the Design tab: Classic (the original HiveSuite gold), Neutral, Your brand, Minimal (no card or background, for sitting inside your own page) or Midnight. Adjust the colours, font, text size, rounded corners and shadow, and add your logo from Subsidiaries, an upload or an image address. Your own CSS is kept exactly as you wrote it.
The Share tab gives you a direct link for emails and social posts, a QR code to print on flyers and vans, and one line of code for your website, with step-by-step help for Wix, WordPress and Squarespace. Forms added with the code fit their space, grow with their content, and no longer pick up or change your website's styles. You can put several forms on one page.
Stronger spam protection
Forms already caught robots with a hidden field and limited how often one connection could send. They now also catch answers sent faster than a person could type (kept in a Spam list in case one was real), let you set a daily limit for each form, and let you choose which websites may show your form.
Reply before they've closed the tab.
On the After submit tab, decide what happens the moment someone presses your button:
- Your words on the button, such as "Get my quote", and your own thank-you heading and message, or a thank-you page on your website.
- A confirmation email to the customer that you write, with their name, your company and their answers.
- A team email listing every answer with its question. Press Reply and it goes straight to the customer.
- A new customer and a draft quote in HiveSuite, ready for you to price.
- A webhook to send every submission to Zapier, Make or another app.
Three forms worth building this week.
- Book a clean
- Contact details, address, a dropdown for the type of clean and a booking slot. Set two bookings per time if you run two teams. Ideal for cleaning businesses and valeters.
- Boiler quote request
- Start from Quote request, add a photo upload for the boiler and a question that only shows when they pick "Replacement". A draft quote is waiting when you open it. Built for plumbers and heating engineers.
- Event hire enquiry
- Event date, venue, guest numbers and a multiple-choice list of what they'd like to hire, split into two steps with a page break. Pairs well with HiveHire for event hire businesses.

We've also fixed a few things along the way:
- Saving a form could clear hidden values, the choices on some questions and the confirmation email setting. Saving now keeps everything.
- Multiple choice custom fields showed as an empty box. They now show as tick boxes.
- On forms with the original gold look, half and third width fields now sit side by side.
- Deleting a form now stops its link straight away, and you can choose whether to keep its submissions.
Common questions about the new forms.
Can customers book a time slot from my website?
Yes. Add a booking slot to any HiveSuite form and visitors pick a date, then one of your free times. You set the days, hours, booking length, how many bookings you can take at once, the notice you need and how far ahead people can book. Each booking arrives in HivePlanner Requests for you to approve.
Will a booking slot stop me double-booking my team?
A time disappears once its places are taken and is checked again when the form is sent, so two people can't take the same slot. The form only knows about bookings made on the form, not jobs already in HivePlanner, so treat each booking as a request and check it against your diary when you approve it.
Can I see which adverts my enquiries come from?
Yes. Each lead records its utm_ tags, a Google Ads or Facebook and Instagram ad click, or the website that sent it. The customer page shows the source of their first enquiry, and Where leads came from shows how many leads each source brought in the last 90 days and how many you won.
Do I need to change the form code on my website?
No. Each form keeps the same code for its whole life, and code copied before this update keeps working. Existing forms keep their original look (the Classic theme) until you choose another.
Does it work with Wix, WordPress and Squarespace?
Yes. The Share tab has step-by-step help for each. If your website builder doesn't allow scripts, there is a fixed-height iframe option, and every form also has a direct link and a QR code.
Can I connect forms to Zapier or Make?
Yes. Add a webhook address and every submission is also sent there, with its answers, contact details and lead source. Requests are signed, there is a Send a test button, and failed sends are tried again over the next few hours.
Who on my team can see form leads?
Administrators, and Staff with the Customers & CRM area. Changing a lead needs permission to edit customers. Crew can't open Forms or Submissions and aren't notified about new leads.
Are the new forms included in my plan?
Yes. Forms, booking slots, the lead inbox, lead source tracking and webhooks are included on every HiveSuite plan, from Solo at £34.99/month inc. VAT.
