HiveHire - every item priced, tracked and billed.
Price kit with proper rate cards, book it onto jobs with live availability, send it out and bring it back with readings, photos and signatures, and invoice it on return, on a date or every month. Built into HiveSuite and included on every plan.
Rate cards
Daily, weekly and monthly rates, rate tables or fixed periods - always the cheapest combination.
Live availability
See what is free for any dates, and warn or block before you overbook.
Dispatch & return
Readings, condition, photos and signatures every time kit goes out or comes back.
Hire invoicing
Invoice on return, on a date or on a recurring schedule, with nothing billed twice.
Rate cards
Hire pricing that works the way you charge
Build a rate card once and attach it to your items. HiveHire works out every price, picking the cheapest mix of months, weeks and days, and the price is shown as you book.
Each booking keeps the price it was booked at, so editing a card never re-prices kit that is already out or invoiced.
- Simple daily, weekly and monthly rates
- Rate tables with price breaks and an extra-day rate
- Fixed price for a set number of days, then a daily rate
- Rates in pounds or as a % of each item's base price
- Charge Monday to Friday only, or any days you choose
- Calendar days or 24-hour periods, grace and rounding
- Minimum hire and charging pauses for breakdowns or weather
Simple periods
£65/day and £260/week. A hire of 1 week and 3 days:
£260 + 3 x £65 = £455
Mon-Fri card
Out Friday 09:00, back Monday 09:00. The weekend isn't a charging day:
2 days charged
Fixed period + daily
£250 for 7 days, then £30/day. A 10-day hire:
£250 + 3 x £30 = £340
From booking to invoice
Everything a hire business needs, in one place
HiveHire works inside the jobs, calendar, team app and invoices you already use in HiveSuite - no separate hire system to keep in step.
Quantity or fleet units
Hire from a stock count, like 150 fence panels, or track each machine with its own fleet and serial number.
Item picker with photos
Choose hire items on the job form with their photo, rate card and how many are free for the dates.
Overbooking protection
Warn with a recorded reason, or block bookings that would take more stock than you have.
Dispatch
Pick the unit going out, record meter, hours and fuel readings, condition and notes. Send part of a booking now and the rest later.
Returns
End readings, condition and usage charges. Charged up to the off-hire request, with days early or late shown.
Photos & signatures
Condition photos and an on-screen signature at dispatch and return - optional or required.
Usage charges
Charge for fuel, hours or mileage from start and end readings, with an included allowance.
Charging suspensions
Pause charging for a breakdown, site closure or bad weather. The price updates straight away.
Drivers
Name delivery and collection drivers, per job or per hire line, and add them to the job's crew.
Delivery pricing
Price delivery and collection per mile or by distance band from your yard, with free miles and a minimum charge.
Yards & regions
A main yard plus a yard per HivePlanner region, so distances are measured from the right depot.
Sale items
Sell consumables like fuel or blades on a hire job. Stock is taken when the item is invoiced.
HiveHire dashboard
On hire, due out this week, every booking and anything overdue, with Dispatch and Return on each line.
Full history
Every step, from reserved to returned and inspected, logged with the time and who did it.
Price visibility
Choose whether team members see hire prices. When off, prices are left out of everything sent to them.
Switch on or off
Turn HiveHire on when you need it. Switch it off once no kit is out - nothing is deleted.
Hire invoicing
Invoice on return, on a date, or every month
Each hire job has its own invoice timing. Bill when the kit comes back, on a set date, or on a recurring schedule for long hires until the last item is returned. Scheduled invoices are always drafts, so you check them before they go out.
Invoice lines show each item's fleet number, the period charged and its dates, plus usage, delivery, collection and sale charges. If a hire changes after it's invoiced, HiveHire shows the difference and updates unpaid invoices. Paid invoices are never rewritten.
- Automatic draft when the last item on a job comes back
- Recurring monthly on a chosen day, or every few weeks
- Charges added later are flagged as not invoiced
- Each invoice only adds what isn't billed yet
- Stripe card payments available on every plan
Example
Two compactors on a monthly schedule
Out from 1 October, invoiced monthly on the 1st, returned on 14 November.
1 November - draft invoice
Compactor x2, 1 Oct - 31 Oct 2026 (hire to date), plus any fuel used.
14 November - returned
Final bill: Compactor x2, 1 Nov - 14 Nov 2026 (to return). Nothing from October is billed again.
Your drivers handle hire from their phone
Each job in HiveCrew shows its hire items, their status and the steps that team member can take. Drivers dispatch, return and record what happened on site, and the office sees it straight away.
- Dispatch and return from HiveCrew on their own jobs
- Readings, usage, photos and signatures on site
- Off-hire, ready for collection and charging pauses
- Admins get an offline hire board in the app's Offline Mode
- Rate cards, prices and invoices stay with admins
No double-bookings
Live availability on every job, with protection when stock runs short.
No lost revenue
Late returns, usage and delivery are charged, and charges added later are flagged.
Fewer disputes
Photos, readings and signatures at dispatch and return settle damage questions.
One system
Hire, jobs, crew, customers and invoices in HiveSuite - no spreadsheets.

HiveHire questions
Is HiveHire included in my HiveSuite plan?
Yes. HiveHire is included on every plan at no extra cost, from Solo at £34.99/month inc. VAT. An admin switches it on from HiveHire Settings or the Modules page in the Customisation Hub.
What kind of hire businesses is HiveHire for?
Any business that hires out equipment - plant and tool hire, access equipment, generators, fencing and welfare units, marquees, event furniture, AV and party hire. Track kit as a quantity (for example 150 fence panels) or as individual machines with fleet numbers.
How does HiveHire work out hire prices?
Each item has a default rate card. Rate cards can be simple daily, weekly and monthly rates, a rate table with price breaks, or a fixed price for a set number of days followed by a daily rate. HiveHire always picks the cheapest mix of months, weeks and days, and applies your charging days, minimum hire, grace period and rounding.
Can I stop double-bookings?
Yes. The job form shows how many of each item are free for the chosen dates, counting kit already booked, out early or overdue. Overbooking protection can warn you (with a reason recorded) or block the booking.
Can HiveHire invoice long-term hires every month?
Yes. Each hire job can be invoiced on return, on a set date, or on a recurring schedule - monthly on a chosen day or every few weeks - until the kit comes back. Scheduled invoices are created as drafts so you can check them first, and nothing is billed twice.
Can my drivers use HiveHire on their phones?
Yes. With crew field steps switched on, team members on a job can dispatch and return kit, record readings, photos and signatures, and pause charging from HiveCrew. You decide whether they see hire prices.
What happens if I switch HiveHire off?
Nothing is deleted. HiveHire can be switched off once no kit is out on hire. It is hidden from menus and pages, and your items keep their hire setup ready for when you switch it back on.
