Surveys and site information

Record what you find on the survey visit: build your own survey checklist in Certificate Studio, with pass, fail and N/A items, notes and photos per item, and conditional questions that only appear when they are needed. Site notes are stored against the address, so the install team sees the same information as the surveyor. The Site Log records each visit with photos (with their location when the phone shares it), checklists and before-and-after pairs.

HiveSuite does not calculate heat loss for you. Use your heat loss software and attach the report to the job.

Quotes with options and deposits

Heat pump customers often want to compare options. HiveSuite's interactive quotes let you present several options on one quote, such as different unit sizes or an optional cylinder or radiator upgrade. Customers accept online with an optional signature and your terms, and with card payments set up they can pay the deposit as soon as they accept. Line items can carry a cost price, so you see the margin before the quote goes out.

Tracking grant applications and job stages

Many installs in England and Wales use the Boiler Upgrade Scheme, where the MCS-certified installer applies on the customer's behalf. HiveSuite does not submit grant applications, but you can add your own job statuses (for example "Survey booked", "BUS applied", "Voucher issued", "Install booked", "Commissioned") so the whole team can see where every job is up to on the pipeline board.

Scheduling multi-day installs

HivePlanner shows multi-day installs as bars across the calendar with their real start and end times. Assign the installers, warn before anyone is double-booked, and with HiveLeave switched on, see who is on holiday before you book them. Jobs waiting for a date sit in the Unscheduled tray until you drag them onto the calendar.

Commissioning, F-gas and handover paperwork

HiveSuite includes an F-Gas Equipment Record template among its pre-built compliance templates, and you can build your own commissioning and handover templates. Job types can require certain certificates or documents before a job can be completed, so nothing is missed. MCS certificates, warranty registrations, manuals and commissioning records can be attached to the job and shared with the customer through the Customer Portal.

Stock, purchase orders and job costs

Track units, cylinders, pipework and fittings with stock levels, low-stock alerts and purchase orders to suppliers. Materials, expenses, crew time and (with HiveFleet switched on) vehicle costs feed into each job's profit, so you know what each install really made.

Your team on site

Installers use HiveCrew on their phone to see their jobs, check in, log time, add photos and notes, record materials and complete certificates. The native Android app works offline and syncs when it reconnects. On iPhone, HiveSuite runs as an installable web app that needs a connection while the native iOS app awaits App Store approval.
