Clients, sites and contacts

Each client can have any number of locations, each a real site address with its own contacts, notes, documents, history and site logs. Locations can be imported in bulk from a CSV. Add an optional case handler, such as the facilities manager, to the client or a specific site, and choose who receives job messages: the client contact, the site contact and/or the case handler.

Access notes and warnings are stored against the site, so every cleaner sees them on the job and on the printable work order.

Scheduling contract cleans

Set up recurring jobs on a daily (with a weekdays-only option), weekly, fortnightly, monthly or custom schedule, and assign the cleaners. Change one visit, this and future visits, or the whole series. HivePlanner's Crew View shows one row per person, so you can drag a clean to someone else when cover is needed, and the map view shows the day's sites together.

With HiveLeave switched on, HiveSuite warns you (or blocks the booking) before you put someone on a job while they are on holiday or off sick, and the Needs cover list shows every job in the next eight weeks with someone booked who is off.

Proof of every clean

The Site Log records each visit with notes, photos and videos, checklists with pass, fail and N/A items, and before-and-after photo pairs. Photos record where they were taken when the phone shares its location. Choose which visits the client can see, and export a visit as a PDF.

For a signed record, build a cleaning checklist from HiveSuite's standard Job completion certificate in Certificate Studio. Cleaners mark each item Done or N/A with notes and up to six photos, required items must be finished before it can be issued, and the PDF is emailed to the completion recipients. With sign-off switched on, jobs your cleaners complete go to pending approval, where you approve them, refuse with a reason, or create a follow-up job in one step.

Order numbers and contract invoicing

Record the client's order (PO) number on the job; it is copied onto the job's invoices, and clients can be marked as "invoices need an order number". Their VAT number, company number and payment terms are printed on invoices and credit notes. Recurring invoices can follow the contract schedule and be sent automatically, and the invoice reminder board shows what is outstanding.

Requests from clients

Clients log in to the Customer Portal to raise job requests for extra cleans, with photos, and to see their jobs, quotes, invoices and documents. Requests arrive in the HivePlanner request inbox, where you approve or decline them and turn them into jobs.

Documents for every site

Upload RAMS, method statements and other documents to the document library once, attach them to jobs, and share them through the Customer Portal. HiveSuite includes RAMS and method statement templates you can generate from the job.

Your cleaners on site

Cleaners use HiveCrew to see their own jobs, access notes and checklists, check in, log time and add photos. Crew see only what you allow, not your client list or financials. The native Android app works offline and syncs when it reconnects. On iPhone, HiveSuite runs as an installable web app that needs a connection while the native iOS app awaits App Store approval.
