Set up recurring invoices on the same schedule as the cleans, and choose whether each one is sent automatically. With Stripe connected, every invoice has a card payment link. For one-off cleans, raise the invoice from the finished job. The invoice reminder board shows who still owes you.

Keys, alarms and access notes

Store access notes and warnings against the address, along with site notes shared across every job there, so cleaners know where the key is, the alarm instructions and about the dog before they arrive. They appear in HiveCrew and on the printable work order.

Covering holidays and sickness

With HiveLeave switched on, cleaners can ask for time off from HiveCrew (if you allow it), you approve it, and HiveSuite warns you (or blocks the booking) before you put someone on a clean while they are off. The Needs cover list shows every clean in the next eight weeks with someone booked who is away, so you can arrange cover in time.

Keeping customers informed

Choose which messages customers receive, such as reminders and "on my way" messages when the cleaner sets off. Messages go by email, and by SMS with a paid plan and SMS credits. Customers can log in to the Customer Portal to see their cleans, pay invoices, request extra cleans and message you.

Your cleaners on their phones

Cleaners use HiveCrew to see their own cleans, access notes and checklists, tap On my way and Arrived, log time and add photos. They see only what you allow. The native Android app works offline and syncs when it reconnects. On iPhone, HiveSuite runs as an installable web app that needs a connection while the native iOS app awaits App Store approval.
