HiveSuite does not include a ready-made end-of-tenancy checklist, but you can build one in Certificate Studio by copying the standard Job completion certificate and adding your rooms and tasks. Cleaners mark each item Done or N/A, with notes and up to six photos per item. The Site Log records each visit with notes, photos and videos, with before-and-after photo pairs. Photos record where they were taken when the phone shares its location. Choose which visits the customer can see in the Customer Portal, or export a visit as a PDF to send on.
Add the letting agent as an optional case handler on the customer or the property, and choose who receives job messages: the customer contact, the site contact and/or the case handler, separately for completion emails and for other job messages such as updates. Access notes and warnings, such as where to collect and return keys, are stored against the address.
Raise the balance invoice from the finished job, with any extras added on site, and send it with a Stripe card payment link. The invoice reminder board shows what is still outstanding.
Cleaners use HiveCrew to see their jobs, access notes and checklists, check in, log time and add photos. The native Android app works offline, which helps in empty properties where the broadband is already off, and syncs when it reconnects.
